Consent to the processing of personal data

1. General provisions
This Candidate Personal Data Privacy Policy (hereinafter referred to as the Policy) provides detailed information about the processing of candidate personal data by UAB Trelo (hereinafter referred to as the Company): what candidate data is collected and processed, how it is used, how long it is stored, to which third parties it may be transferred, and where to apply for the deletion of personal data from the Company’s candidate database.

This Policy may be amended, supplemented, or updated. The current version of the Policy is available on this page.

2. What data do we process and why?
When conducting selection procedures for vacant positions at the Company and evaluating your candidacy, the following data about you is processed.

Candidate personal data is any information that can be used to identify a person, as well as any information about a person who has already been identified, including the Candidate’s curriculum vitae (CV), the Candidate’s questionnaire, cover letter, and other documents attached by the Candidate (e.g., certificates, diplomas, references, etc.), which the Candidate submits to the Company on their own initiative or which arise additionally during the employee selection process (e.g., the results of the Candidate’s practical tasks, the Candidate’s personality profile assessment data, the insights and opinions of the person(s) conducting the selection, the person recommending or providing feedback on the Candidate, their contact details, the content of the recommendation or feedback, etc.). Notes: Special categories of personal data (e.g., health data) are collected and processed only in cases and to the extent necessary for the selection process for a specific job and to the extent permitted by applicable law. Data on the health of candidates in the selection process is collected and processed in accordance with applicable laws in order to assess whether a potential employee is able to perform the job offered by the Company based on their health condition; special categories of data are collected only in the final stages of the selection process.

The legal basis for data processing is considered to be your consent, which we consider to have been obtained when you submit your CV, candidate questionnaire, and/or other documents to the Company or its representatives.

If the Company receives information about your candidacy and/or your CV and/or other application documents from the Lithuanian Labor Exchange, employment agencies, online job search portals, career social networks (e.g., LinkedIn) and/or other entities providing job search, selection, and/or intermediary services, it is presumed that you have received all the necessary information. Your personal data from other sources is collected only with your separate consent.

Your personal data will be processed for as long as the selection process for your chosen job(s) is ongoing, but for no longer than 6 months.

If, at the end of the selection process for the relevant job, the Company does not select your candidacy and we do not enter into an employment contract with you, all your personal data collected for the purposes of the selection process will be securely destroyed, unless the Company obtains your consent to include your data in the Company’s candidate database, as described in Section 3 of this Policy below.

3. Candidate database administration
If you wish to be included in the Company’s candidate database and receive information about future employee searches and selections carried out by companies in the Trelo group, the Company will process the candidate’s personal data specified in Section 2 in the candidate database.

After receiving your voluntary (optional) consent to process the candidate’s personal data obtained during the selection process, the Company will store it for no longer than 1 year after the selection process, except in cases where other terms are clearly specified and there is a legitimate basis for doing so. The storage of the candidate’s personal data for a period longer than that specifically indicated in this Policy may only be carried out when (i) there are reasonable suspicions of illegal activity, which is being investigated, and/or (ii) the Candidate’s data is necessary for the proper resolution of a dispute or complaint, and/or (iii) there are other grounds provided for in legislation. In any case, the Company may store the Candidate’s consent and proof thereof for a longer period if necessary for the Company to defend itself against claims, complaints, or lawsuits brought against it.

You are free to refuse to allow your data to be included and further processed in the candidate database after the selection process has ended, and you may withdraw your consent at any time and request that your data be removed from the candidate database. Your refusal to be included in our candidate database or the withdrawal of your consent will not prevent you from participating in the selection process for the specific job you are applying for.

4. From what sources does the Company collect your personal data?
Most often, your data is obtained directly from you – when you respond to the Company’s job advertisement and/or submit your CV, candidate questionnaire, and/or other application documents (curriculum vitae, cover letter, etc.).

The Company may also obtain information about your candidacy, your CV and/or other application documents from entities providing job search, selection and/or intermediary services, e.g. the Lithuanian Labor Exchange, employment agencies, job search websites, specialized career social networks (e.g. LinkedIn).

The Company may obtain certain information about you from third parties, e.g. persons who recommend you, current or former employers. However, such information is collected only if you give the Company your consent to contact your named employer and/or other person and obtain a recommendation or feedback about you.

5. What are your rights and how can you exercise them?
Right to access your personal data processed by the Company: You have the right to obtain confirmation from the Company as to whether your personal data is being processed, as well as the right to access your personal data and information about the purposes of data processing, categories of data processed, categories of data recipients, data processing period, and sources of data.

Right to rectify personal data: If the data you provided in your application documents to the Company has changed or you believe that the information about you processed by the Company is inaccurate or incorrect, you have the right to request that this information be changed, clarified, or corrected.

Right to withdraw consent: You have the right to withdraw your consent at any time and request the termination of further processing of personal data, which is carried out on the basis of consent.

Right to erasure (right to be forgotten): Under certain circumstances specified in data processing legislation (when personal data is processed unlawfully, the basis for data processing has disappeared, etc.), you have the right to request that the Company erase your personal data.

Right to lodge a complaint: If you believe that the Company is processing your data in violation of data protection legislation, you are always requested to contact the Company directly first. If you are not satisfied with the solution proposed by the Company or if, in your opinion, the necessary measures have not been taken in response to your request, you have the right to lodge a complaint with the supervisory authority, the State Data Protection Inspectorate of the Republic of Lithuania.

6. How secure is your data?
The Company uses various security technologies and procedures to protect your personal information from unauthorized access, use, or disclosure. The Company’s suppliers are carefully selected and required to use appropriate measures to protect your confidentiality and ensure the security of your personal information. However, the security of information transmitted via the Internet or mobile communications cannot be guaranteed; any transmission of information to the Company by the means specified is at your own risk.

Your voluntary (optional) consent

By signing below, I confirm that I have read and understood the privacy policy of UAB Trelo regarding the personal data of job applicants. By checking the box below, I voluntarily authorize UAB Trelo to process my personal data so that the Company can assess my suitability during future recruitment processes, and I consent to my personal data being stored for one year from the date of my confirmation in this statement.

I understand that if I do not agree to the terms below, it will not affect the results of my current application for a specific position at UAB Trelo. I also understand that I may withdraw my consent given in this statement at any time, and such withdrawal will not affect the results of my job search.
